LittleRecap

Privacy Policy

Last updated: October 22, 2026

1. About this policy

LittleRecap is a daily reporting and parent communication service for home daycares, daycare centres, preschools, and other small childcare programs. This policy explains what information we receive, how we use it, when it may be shared, and the choices available to you. It applies to the LittleRecap website, account area, interactive demo, subscription features, daily reports, media features, and related services.

In this policy, “LittleRecap,” “we,” “us,” and “our” refer to the service provider operating LittleRecap. “Provider” means the daycare, preschool, or childcare organization that creates a workspace. “User” means a provider administrator, staff member, or other person authorized by a provider. “Guardian” means a parent or other approved recipient who receives a report. The provider generally decides what information to enter and who should receive it. LittleRecap processes that information to provide the service on the provider’s instructions.

2. Our privacy commitments

Childcare information deserves careful treatment. We do not sell personal information, children’s information, or report content. We do not use children’s information for advertising. We do not share information with data brokers. We do not use the information stored in a provider workspace to train artificial intelligence models. We use information to operate, secure, support, and improve LittleRecap, subject to the choices and limitations described below.

LittleRecap is a focused reporting tool, not a general-purpose advertising network, social network, or public directory. Information entered into a private workspace is not intended to be publicly searchable. A report can be viewed by an approved recipient through the delivery method selected by the provider, and a provider is responsible for confirming that each recipient is authorized to receive it.

3. Information we collect

The information we collect depends on how you use the service. A provider may create an account with a name, login details, organization name, daycare details, time zone, and billing information. Staff profiles may include a name, login identifier, role within the workspace, invitation status, and sign-in activity. A provider may also give us a guardian’s name and delivery address so a report can be sent to that guardian.

A provider may enter child profile details such as a child’s name, date of birth, emergency contact details, dietary notes, medical alerts, care preferences, and classroom placement. Providers should enter only what is reasonably needed for their care and communication practices. Information about a child can be sensitive even when it does not identify a diagnosis or other protected condition, so providers should use good judgment and follow all applicable childcare, privacy, and recordkeeping requirements.

Daily report content can include meals and snacks, appetite, naps, diapering or toileting, care routines, activities, notes, delivery status, and photographs or videos uploaded by an authorized user. We also receive information needed to operate the account, such as browser type, device information, approximate location derived from technical data, IP address, timestamps, pages visited, feature interactions, and error details.

If you contact us through the contact page, we receive the information you choose to provide, such as your name, role, organization, subject, message, account context, and the category of your request. We use that information to respond, investigate a report, provide support, or handle a privacy, legal, billing, or partnership request.

4. How we use information

We use information for the following purposes:

  • To create and maintain provider workspaces, staff accounts, child profiles, and report history.
  • To let authorized staff record meals, naps, care updates, activities, notes, and media.
  • To prepare and deliver daily reports to guardians selected by the provider.
  • To authenticate users, protect accounts, enforce permissions, and detect suspicious activity.
  • To process subscriptions, trial status, invoices, plan changes, and cancellation requests.
  • To provide customer support, answer questions, and investigate service or delivery problems.
  • To send necessary service messages, such as account, security, billing, invitation, and report notifications.
  • To understand how the website is used, measure performance, and improve the product.
  • To comply with legal obligations, respond to lawful requests, and protect rights, safety, and property.

We do not use report content to create advertising profiles. We do not make decisions about a child’s care, eligibility, safety, health, or education. LittleRecap records and communicates information supplied by a provider; it does not replace professional judgment, supervision, emergency procedures, or required records.

5. Analytics and cookies

The website uses Google Analytics to understand general website traffic and improve public pages. Analytics may collect information such as page views, referral information, browser and device details, approximate location, and interactions with the website. Analytics is used for measurement and product understanding, not to read private report content or build advertising profiles from children’s information.

The application may use essential browser storage and similar technologies to keep you signed in, remember preferences, support security, and make the service work. These technologies can include session storage, authentication cookies, local preferences, and security tokens. Disabling essential storage may prevent sign-in or other features from working. Your browser may offer controls for cookies and site data, and Google provides its own settings for analytics choices. Removing storage can also sign you out or reset preferences.

6. How information is shared

We share information only as needed to provide the service, protect users, complete a transaction, or meet a legal obligation. A provider’s authorized staff can access the provider’s workspace according to the workspace permissions. A guardian can receive and view a report only when the provider has selected that guardian for delivery. A report link may contain a unique access token; recipients should not forward it or post it publicly.

We use carefully selected service providers for hosting, authentication, database operations, media storage and delivery, payment processing, transactional messages, analytics, security, and error monitoring. These providers process information only for the services they provide to us and are expected to protect it. For example, payment details are handled through our payment processor rather than stored as full card numbers in LittleRecap. Photos and videos may be sent to a dedicated media service so they can be uploaded, displayed, delivered, and removed when requested.

We may disclose information if required by law, court order, or valid legal process; to prevent fraud, abuse, or security threats; to protect a person’s safety; or to enforce our terms. If LittleRecap is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality and legal protections. We do not sell personal information as a business practice.

7. Security

We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, alteration, disclosure, and destruction. Data is transmitted over encrypted connections. Account access requires authentication, and workspace permissions are designed to limit staff access to the organization they belong to. Provider data is protected by database access rules, and privileged service credentials are kept on the server side rather than exposed in the browser.

No online service can guarantee perfect security. Providers and users should use strong, unique passwords, keep sign-in details private, remove staff who no longer need access, and report suspected unauthorized access promptly through the contact page. Do not place emergency instructions, passwords, payment card numbers, or information that is not needed for daily reporting into a report.

8. Retention and deletion

We retain workspace information while the provider’s account is active or as needed to provide report history, billing records, security protections, dispute resolution, and legal compliance. Providers can archive children, manage reports, and use available account controls to remove information. Certain records may remain for a limited period in backups, audit logs, fraud-prevention systems, or records we are required to keep. Those records are isolated and deleted or anonymized according to our retention practices.

A provider can request deletion of its organization data through the contact page. We may need to verify the request and confirm that the requester has authority over the workspace. Deleting information can affect staff access, report links, media, billing history, and other features. If you are a guardian or staff member, first contact the provider that created the workspace because that organization controls much of the information it entered.

9. Children and sensitive information

LittleRecap is intended for use by adults working for or authorized by a childcare provider. It is not directed to children, and children should not create accounts or submit information directly. The provider is responsible for obtaining any consent, notice, authorization, and parental or guardian permission required before entering child information, collecting media, inviting staff, or delivering reports.

Providers should minimize sensitive information, keep it accurate, and remove it when it is no longer needed. LittleRecap is not an emergency service, medical record system, or substitute for required health, incident, attendance, licensing, or safeguarding records. If a provider uses the service for information relating to health, diet, allergies, medication, or emergencies, the provider remains responsible for safe handling and for following applicable laws and professional procedures.

10. Your choices and rights

Depending on where you live and your relationship with the provider, you may have rights to access, correct, delete, restrict, or receive a copy of personal information, or to object to certain processing. You may also have the right to withdraw consent where processing is based on consent. Requests should be made through the contact page and should identify the workspace or information involved without including unnecessary sensitive details.

We may ask for information needed to verify identity and authority before completing a request. If the information is controlled by a daycare or preschool, we may direct you to that provider or work with the provider to respond. You may opt out of optional promotional messages when an unsubscribe choice is provided. Essential service, security, account, billing, and transactional messages cannot be disabled while you use the related feature.

11. International and third-party services

LittleRecap and its service providers may process information in countries other than where you live. When information is transferred across borders, we use contractual, technical, or other safeguards appropriate to the circumstances. Third-party websites, payment pages, analytics settings, and media links may have their own privacy policies. This policy does not control how an independent third party uses information after you leave LittleRecap or choose to interact with that service.

12. Changes to this policy

We may update this policy when the service, legal requirements, or data practices change. The “Last updated” date shows when the current version was published. If a change is material, we may provide additional notice through the service or another reasonable channel. Your continued use after an updated policy takes effect means the updated policy applies to future use, to the extent permitted by law.

13. Contact us

For privacy questions, access or deletion requests, security concerns, data correction requests, or questions about this policy, please use the LittleRecap contact page. Select the privacy or legal category so the request can be routed appropriately. Please do not include a child’s full medical history, passwords, payment card information, or other unnecessary sensitive details in your first message.
