Terms of Service
Last updated: October 22, 2026
1. Agreement and scope
These Terms of Service govern access to and use of LittleRecap, including the public website, account area, interactive demo, daily reporting tools, parent communication features, media tools, subscriptions, and related services. By creating an account, accepting an invitation, starting a trial, purchasing a plan, or using the service, you agree to these terms. If you use LittleRecap for a daycare, preschool, or other organization, you confirm that you have authority to accept these terms for that organization.
If you do not agree, do not create an account or use the service. “LittleRecap,” “we,” “us,” and “our” mean the service provider operating LittleRecap. “Provider” means the organization that creates a workspace. “User” means an administrator, staff member, or other authorized person using that workspace. “Guardian” means a parent or approved recipient who receives a report. The Privacy Policy describes how information is handled and forms part of these terms.
2. What LittleRecap provides
LittleRecap is a focused daily reporting and parent communication service. It helps childcare teams create clear updates about a child’s day, including meals and snacks, appetite, naps, diapering or toileting, care routines, activities, notes, and approved photos or videos. It can organize report history, support staff access within a provider workspace, and deliver completed reports to guardians selected by the provider.
LittleRecap is not an enrollment system, tuition billing system, payroll system, staff scheduling platform, curriculum management system, attendance or licensing record system, medical records system, or emergency response service. The service does not replace supervision, professional judgment, direct communication, required paper or electronic records, safeguarding procedures, or any duty imposed on a childcare provider. Features may vary by plan, account status, location, and the version of the service available at the time.
3. Accounts and workspace authority
You must provide accurate information when creating an account and keep it current. You are responsible for keeping your password, sign-in links, and other access credentials confidential. You must not share your account with another person or allow an unauthorized person to use a staff account. If you invite a staff member, you are responsible for confirming that person’s identity, role, and continuing need for access.
The provider controls its workspace and is responsible for assigning appropriate permissions, removing staff who leave or change roles, reviewing report recipients, and maintaining the accuracy of organization and child information. We may rely on instructions from an authorized workspace administrator. If you believe an account or report link has been accessed improperly, use the contact page promptly and take immediate steps to secure the affected account.
You must be legally able to enter into these terms. The service is intended for adults acting for themselves or for a childcare organization. Children must not create accounts or use provider tools directly.
4. Provider responsibilities for children and guardians
The provider is responsible for obtaining all permissions, notices, consents, and authorizations required to collect child information, store report content, upload media, invite staff, and send reports to parents or guardians. Before sending a report, the provider must confirm that the recipient is approved and that the information is appropriate for that recipient. Providers should not send one child’s information to another family or use a shared device in a way that exposes private information.
You are responsible for entering information accurately and correcting mistakes promptly. You are also responsible for deciding what belongs in a daily report. Do not use LittleRecap as the only place for emergency instructions, medication administration records, incident documentation, attendance records, required licensing records, or other information that must be available through a separate process.
LittleRecap does not verify a provider’s legal authority to care for a child, the accuracy of a care entry, the identity of a guardian, or the suitability of a report for a particular family. A report is a communication tool and must be reviewed by the provider before it is delivered.
5. Acceptable use
You may use LittleRecap only for lawful childcare reporting, organization management related to the service, parent communication, and other purposes we expressly allow. You must not:
- Use the service to harm, threaten, harass, exploit, or impersonate another person.
- Upload unlawful, abusive, defamatory, discriminatory, sexually explicit, or infringing content.
- Upload malware, attempt to bypass security, probe another account, or access another workspace.
- Use report links to surveil, track, or contact a person for an unrelated purpose.
- Send spam, bulk messages, misleading communications, or reports to recipients without authorization.
- Reverse engineer, copy, resell, frame, scrape, or interfere with the service or its underlying systems.
- Use automated activity that creates unreasonable load or circumvents plan, trial, or access limits.
- Use LittleRecap to make decisions that require a qualified medical, legal, educational, or safeguarding professional.
We may investigate suspected misuse and may restrict access where reasonably necessary to protect users, children, the service, or third parties. We may preserve information connected with a security or abuse investigation and may disclose it when required by law or needed to protect safety and rights.
6. Content and media
You retain responsibility for the information, notes, photographs, videos, and other content you or your organization submit. You grant LittleRecap a limited, non-exclusive permission to host, process, display, transmit, back up, and otherwise handle that content only as needed to provide, secure, support, and improve the service. You confirm that you have the rights and permissions needed for the content and for the uses described in these terms.
Media uploads may be processed through a specialized media provider. Uploads should be limited to content relevant to the child’s report and should follow your organization’s consent and retention practices. You are responsible for reviewing a photo or video before sending it and for removing media that is no longer needed. We may reject, limit, or remove content that violates these terms, creates a security risk, or cannot be processed safely.
We do not claim ownership of your report content. We may create technical copies, thumbnails, logs, and usage records as necessary to operate the service. Feedback, suggestions, or ideas you provide about LittleRecap may be used without restriction, provided we do not identify you or disclose private workspace content in doing so.
7. Trials, plans, and active-child limits
LittleRecap offers a 14-day free trial and does not require a credit card to begin the trial. The trial is intended to let a provider evaluate the reporting workflow before selecting a paid plan. We may limit a trial to one per organization, account, or reasonable household or business grouping. Trial access may be changed, paused, or ended if it is abused or used to avoid plan limits.
The Starter plan supports up to 15 active children, one daycare workspace, and up to 3 staff accounts. The Growing plan supports up to 80 children, multiple classrooms, and up to 10 staff accounts. Plan names, limits, prices, and included features are shown on the pricing page and may change for future purchases. An active child is a child profile currently enrolled and able to receive daily reports. Archived children do not count toward a plan limit unless the pricing page states otherwise.
Before a trial ends, the provider must choose a plan to continue using paid features. If no plan is selected, access may be limited or paused. A provider must not create duplicate workspaces to bypass plan limits, account restrictions, or billing requirements. If your program needs more capacity than the listed plans, contact us through the contact page before creating additional workspaces for the same program.
8. Billing, renewals, and cancellation
Paid plans may be billed monthly or annually, as shown at checkout or in billing settings. Annual plans may include the savings displayed on the pricing page. By starting a paid subscription, you authorize the payment processor to charge the selected payment method for the applicable price, taxes, and renewal amounts. We do not store full payment card numbers in the LittleRecap application.
Subscriptions generally renew for the same billing interval unless canceled or changed before renewal. You can cancel from the available billing controls or request help through the contact page. Cancellation normally stops the next renewal but does not automatically reverse a completed billing period. Unless required by law or expressly stated at purchase, partial billing periods, unused capacity, and unused trial time are not refundable.
If a payment fails, is reversed, or becomes overdue, we may retry the payment, limit paid features, suspend access, or cancel the subscription. If taxes apply, they may be added to the displayed price. We may update prices for future billing periods with reasonable notice. A price change does not change the current paid period unless the law requires otherwise.
9. Privacy and security
Our Privacy Policy explains how information is collected and handled. You acknowledge that online services carry security risks and agree to use reasonable safeguards, including strong passwords, controlled staff access, secure devices, and timely removal of former users. We use safeguards designed to protect workspace information, but no service can promise that every transmission, device, or account will always be secure.
You must not place passwords, payment card numbers, unnecessary medical histories, or unrelated sensitive material in daily reports. If you believe a report, account, credential, or media file has been disclosed or used without authorization, notify us through the contact page and notify the affected provider or organization when appropriate.
10. Availability and changes
We work to keep LittleRecap reliable, but we do not guarantee uninterrupted, error-free, or delay-free service. Availability may be affected by maintenance, updates, internet connections, device limitations, third-party providers, outages, security events, or circumstances outside our reasonable control. Email, media, payment, and authentication services may have their own delivery or availability limits.
We may add, change, suspend, or remove features, including features included in a plan, when reasonably necessary for security, legal compliance, operations, or product development. We may provide notice of material changes through the service or another reasonable channel. The public interactive demo may use fictional information and does not create a live provider workspace.
11. Intellectual property
LittleRecap and its software, design, branding, documentation, text, graphics, and service features are owned by or licensed to us and are protected by applicable intellectual property laws. These terms give you a limited, non-exclusive, non-transferable right to use the service during your authorized account period. You may not copy the service, remove ownership notices, use our branding to imply endorsement, or create a competing service from our protected materials.
The LittleRecap name, logos, and visual materials may not be used without written permission. You may refer to the service accurately in ordinary business communications, provided you do not suggest that LittleRecap endorses your organization or guarantees a regulatory outcome.
12. Suspension and termination
You may stop using the service and cancel a subscription at any time. We may suspend or terminate access if you violate these terms, fail to pay, create a security or legal risk, misuse the service, or if continued operation is no longer commercially or technically reasonable. We may also suspend an account temporarily while investigating suspected compromise or abuse.
When access ends, provider and staff access may stop, report links may expire or become unavailable, and content may be deleted according to the Privacy Policy and our operational retention practices. You are responsible for exporting or retaining records you are required to keep before ending an account. Sections concerning content responsibility, payment obligations, intellectual property, disclaimers, limits of liability, dispute handling, and other provisions that should reasonably survive termination will continue.
13. Disclaimers
To the maximum extent permitted by law, LittleRecap is provided on an “as available” and “as is” basis. We disclaim warranties that the service will meet every organization’s needs, remain available without interruption, be free of errors, preserve every record indefinitely, or produce a particular business, regulatory, financial, health, education, or family outcome. We do not guarantee that a guardian will open a report, that a message will arrive immediately, or that a report will be suitable for every purpose.
You remain responsible for supervision, care decisions, legal compliance, consent, accuracy, recipient selection, emergency response, recordkeeping, and the decisions made using information in the service. Nothing in LittleRecap is professional medical, legal, accounting, educational, or safeguarding advice.
14. Limitation of liability
To the maximum extent permitted by law, LittleRecap and its owners, employees, contractors, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, business opportunities, data, or anticipated savings, arising from or related to the service or these terms. This includes issues involving a report, delivery delay, media file, account, payment, third-party service, device, network, or unauthorized access, even if we were advised that such harm was possible.
To the maximum extent permitted by law, our total liability for claims arising from the service will not exceed the amount you paid to LittleRecap for the service during the twelve months before the event giving rise to the claim, or one hundred dollars if you paid nothing during that period. These limits do not apply where prohibited by law or to liability that cannot legally be limited.
15. General terms
You may not transfer your account or these terms without our consent, except that an organization may transfer its workspace as part of a permitted business change. We may assign these terms in connection with a merger, acquisition, reorganization, or sale of the service. If one provision is unenforceable, the remaining provisions will remain in effect. Our failure to enforce a provision is not a waiver. These terms and the Privacy Policy describe the current agreement about the service and replace earlier service terms about the same subject. Applicable law and dispute procedures depend on the governing law that applies to the parties, and nothing here removes rights that cannot legally be waived.
16. Contact
Questions about these terms, billing, cancellations, account access, content, or a suspected violation should be submitted through the LittleRecap contact page. Choose the category that best matches your request and include enough context for us to respond, without including passwords, payment card information, or unnecessary child information.
